What is the whistleblowing system?

The whistleblowing system is a tool that allows shareholders, service providers (e.g. employees, interns, trainees, collaborators, etc.) or stakeholders (e.g. suppliers, consultants, etc.) to confidentially report any wrongdoing or suspicion of such, discovered during the period of the relationship.

 

Who can make reports (whistleblower)?

Those who are partners or work for Emu Group S.p.a. in any capacity and at any level may make the report, such as, for example, employees, self-employed workers, holders of a collaboration relationship, workers or collaborators of contractors or suppliers, freelancers and consultants, volunteers and trainees, paid and unpaid.  The whistleblower is protected by law. What can be reported?

The report contains information on those behaviours, acts or omissions that harm the public interest or the integrity of a public administration or Emu Group S.p.a. and that, among others, may consist of administrative, accounting, civil or criminal offences, relevant unlawful behaviour pursuant to Italian Legislative Decree 231/2001, or breaches of the Organisation and Compliance Management Model and/or the Code of Ethics adopted by Emu Group S.p.a.

The information subject to the report also includes well-founded suspicions, concerning breaches committed or which, on the basis of concrete elements, could be committed within Emu Group S.p.a., as well as elements concerning conducts aimed at concealing such breaches.

Complaints of a personal nature of the whistleblower or claims/requests that fall within the discipline of the employment relationship or relationships with the hierarchical superior or colleagues must not be reported, for which reference must be made to the Human Resources Office in the established manner.

 

When can reports be made?

In addition to the legal relationship legitimising the same, reports may also be made:

a) when the legal relationship has not yet started, if the information on breaches was acquired during the selection process or at other pre-contractual stages;

b) during the trial period;

c) after the dissolution of the legal relationship if the information on the breaches was acquired during the course of the relationship.

 

 

 

 

How do I submit a report?

The Segnalazioni.net system provides two modes that can be freely chosen by those who want to make a report.

Registered User: create an account through which you access your reports with username and password (chosen by you). In this case, your identity is available to the Whistleblowing Officer, but is separate and hidden from the report.

Unregistered user: create the report and access it through the codes issued by the system. Carefully protect the code and password because in the event of loss you will no longer have access to your report. If you have indicated your name and surname, your identity will remain hidden but accessible only by the Whistleblowing Officer.

 

 

In case of an anonymous report?

If you prefer to remain anonymous, as an unregistered user, do not indicate references that could lead to your identity. If you attach files, remember to check that they do not contain references to your identity, even within the metadata. If requested by the Whistleblowing Officer, you can communicate your identity, later, through the message area. By whom and how is my report handled?

How can I check the progress of my report?

If you are a REGISTERED user or have indicated the e-mail address as an UNREGISTERED USER, you will receive an e-mail notification in the event that the Officer wants to request further information or clarification. If you do not receive notifications, check the spam box as well. In any case, we advise you to periodically access your report to directly check if you have any requests or simply to consult the processing status. We remind you, for confidentiality reasons, not to use a company e-mail address.

 

How can I integrate the report?

After sending the report, you can integrate it by accessing the report itself and entering a message in the "messages" area.

 

 

How is my identity handled?

Reports and the identity of the Whistleblower are highly confidential; the software hides the whistleblower's identity. Access to the identity of the whistleblower is, however, granted exclusively to the Whistleblowing Officer, through a security procedure, which records access to the identity, with a request for reasons. In the event that the Officer has seen your identity, you will be informed by the platform through an alert. The system does not use log systems that allow the identity of the person sending a report to be traced.
